Privacy Policy

1.  Introduction

Salespatron.com, hereby referred to as “Salespatron”, “us” or “we”, takes security and privacy of its users and their information as its top priority. The privacy policy here describes what all information we store, how we use it and the choices available to us regarding the Salespatron users' and customers', hereby referred to as, “you”, “your” or “users”, personally identifiable information, hereby referred to as “PII”, as well as how you can access and update it. Users retain all rights to their data and information including any and all content, in any form, uploaded through any means, either through email or directly or through integrations with 3rd party applications. We will not access, modify or sell your information and content except as necessary to keep the application running and provide the necessary functioning of the service in cases like, but not limited to, prevention, resolution or troubleshooting of a technical issue or to provide general support upon customers’ request. Furthermore, any information, uploaded or collected, shall be used only in accordance with providing the services mentioned below and will not disclose or share this information with any 3rd party without prior user approval.


2.   What services does Salespatron.com provide?

Salespatron provides a variety of services through its various platforms, including but not limited to it web application and chrome extension, which help professionals such as sales, consultants, lawyers, marketers across a variety of industries to help them communicate with their clients, partners and colleagues, henceforth, called “Services”.

These services are made available to people and organisations who have access to a valid Salespatron.com account and password (“Customers” or “users") via our web site located at Salespatron.com (“Site”). The site allow the users to achieve the following:

  1. A way for anyone with a valid Salespatron application login access, henceforth called a USER, to upload, store, edit and view mentioned document formats in the cloud
  2. A way for a USER to auto-update name of a new document if a document with an identical name is already uploaded
  3. A way for a USER to manage the uploaded documents with respect to changing their document names, control versions by updating them or deleting them
  4. A way for a USER to convert mentioned document formats into HTML, PNG and SVG formats
  5. A way for a USER to share uploaded document through a document link along with an optional message and an email subject line by sending an email to anyone with a valid email ID, henceforth called as a VIEWER, using our email servers
  6. A way for a USER to generate unique shareable link (which can be copy pasted anywhere or bulk downloaded in a CSV) corresponding to a given email(s) (or a set of emails uploaded through CSV) for any uploaded document
  7. A way for a USER to manage the above generated or emailed shareable links with respect to their validity, link text, link domain, access permissions and any other way deemed fit by the USER
  8. A way for a USER to allow him/her to use the application interface on any custom domain of the USER's choice given they own or have access to the domain and have the know-how and permission to change their domain's DNS settings
  9. A way for a VIEWER to access and view documents using a browser software
  10. A way for a VIEWER to contact the USER by sending an email using our email servers through the contact form (with information like written message text, date/time, phone number, name, company name, address, designation etc.) in the shared document link
  11. A way for a USER to track VIEWER behaviour on the shared, generated or emailed document links with respect to document link access date/time and frequency, document link page view duration and frequency, device used to open the document link, IP address of the VIEWER and storing VIEWER's browser cookie data.
  12. A way for a USER to see the above mentioned VIEWER data, mentioned in points 10 and 11, in the application interface in the form of sortable data tables and graphs,data in which can be in turn downloaded in CSV format
  13. A way for a USER send a document link to a VIEWER(S), different than the above mentioned document link in point 5, which can be controlled by the USER with respect to which page in the document link is currently visible in the VIEWER's browser software
  14. A way for a USER to write notes in an embedded box in the document link, changes to which are visible in real-time, to all VIEWER(S) who have the above mentioned document link in point 13
  15. A way for a USER to email the above mentioned notes in point 14 to all VIEWERS using our email servers
  16. A way for a USER to see all his/VIEWER's activities mentioned in, but not limited to, all points from 1 to 15 in a timeline format in the application interface
  17. A way for a USER to login, see and browse through all of his/her documents and generate shareable links for them right in their Chrome browser software, by entering emails as mentioned in point 5 above, using a custom built Chrome Extension
  18. A way for a USER to see and browser through all of his/her documents and generate shareable links for them, as mentioned in point 5 above, right in their Gmail's compose interface, through a custom built Gmail plugin
  19. A way for a USER to add date/time in all his/her Salespatron application emails to his Google Calendar
  20. A way for a USER to integrate their Google Analytics account to the application to track all data as mentioned in points 10 and 11 above in their Google Analytics interface through a custom built Google Analytics plugin.
  21. A way for a USER to do activities mentioned in points 5, 6 and 14 above through his/her Salesforce interface through a custom built Salesforce integration
  22. A way for a USER to upload mentioned document formats in his/her Salespatron application account, by sending an email from his/her email ID, which has a valid login access to Salespatron application, to a Salespatron email ID with the attachment of the document to be uploaded
  23. A way for a USER to be able to upload documents stored in their various cloud document storage services namely Google Drive, Box, Dropbox and SkyDrive through custom integration with these services
  24. A way for a USER to be able to highlight or annotate anywhere on the document link generated, as mentioned in point 13 above, which will be visible to any VIEWER having access to that document link
  25. A way for a USER to share his/her screen with a VIEWER through a live feed which will be visible to the VIEWER through the VIEWER's browser software
  26. A way for a USER to do activities mentioned in, but not limited to, points 1 to 15 above through a custom built mobile and tablet application running on Google's Android platform
  27. A way for a USER to do activities mentioned in, but not limited to, points 1 to 15 above through a custom built mobile and tablet application running on Apple's iOS platform


3.  What information do we collect and how is it used?

  1. Provided by the user
    1. Information about themselves:
      • Name
      • Company name
      • Work e-mail address
      • Phone number
      • Credit card number
      • Billing address
      • Designation
      • CRM system in use
      • List of contacts
    2. Content uploaded by them:
      • Documents in multiple formats e.g., but not limited to .doc, .docx, .pdf, .xls, .xslx, .ppt, .pptx, .odf, .key etc.
      • Images in multiple formats
      • Videos in multiple formats
    3. Information about their prospect or client:
      • Name
      • Email
      • Phone
      • Company
      • Any others (as required)

    This information is collected and used in order to provide the services as mentioned under services above and is not sold, rented or traded with any 3rd party applications unless using them is a pre-requisite to providing the above mentioned services. In such cases, these 3rd party applications may have their own privacy policy which maybe different than ours. Salespatron also reserves the right to use your respective company logos to showcase your association with us on our website and marketing and sales collateral without prior approval. However, you reserve the right to take it down if you have an objection with the usage of your company logo on our marketing and sales collateral or website. To do so, simply write a mail to support@salespatron.com.

  2. Provided by the viewer

    Viewers have an option to contact the user through an auto-popup contact form in Salespatron content links. The information collected includes, but not limited to, name, email address, phone number, company name, designation etc. This information follows the same privacy policy as rest of the user data and is not accessed or modified by Salespatron except as required by the user who sent that particular Salespatron content link. This information maybe used by our users in order to contact the viewers for relevant business and sales discussions. Other than our authorised users, this information is not sold, rented or traded in any form and will only be used by our respective users with whom this information is shared with.

    We allow prospects or clients of our users and viewers of Salespatron content to opt out of receiving any emails from users of our service, you can do so by either writing to the respective user or write to support@salespatron.com. It is important to note that we can only prevent someone sending an email through our platform and cannot prevent a user from sharing Salespatron content links through their personal email service provider.

  3. Provided by a site visitor

    Visitors of our site who’re neither a user or a viewer can request more information about Salespatron products and services via a ‘Request Demo’ form where we may ask information such as your name, company name, your work email address, phone number, designation etc. in order for us to pass on the information to the designated Salespatron sales executive who will then contact you. This information will not be shared or sold with/to anyone outside of Salespatron and will only be used to contact the visitor in accordance with providing more information and Salespatron product demo.

  4. Information collected automatically
    1. From the user
      • Date and time when a user logs into our service and access which pieces of content, including how many times and the duration and to whom was this piece of content sent to or shared with through other means enabled by the service
      • Date and time when a certain piece of content was uploaded by the user
      • IP address and location

      We may use this information to improve the overall service experience of the user by analysing trends, page load speeds, most frequented pages, language preference and remembering and filling passwords automatically for faster user authentication.

    2. Content uploaded by them:
      • Documents in multiple formats e.g., but not limited to .doc, .docx, .pdf, .xls, .xslx, .ppt, .pptx, .odf, .key etc.
      • Images in multiple formats
      • Videos in multiple formats
    3. From the viewer
      • Date and time of a viewer accessing/viewing a particular piece of Salespatron content including number of times a particular content was viewed and the time spent viewing it including time spent on different portions/pages of a content
      • IP address and location

      This information maybe used by our users in order to contact the viewers for relevant business and sales discussions. Other than our authorised users, this information is not sold, rented or traded in any form and will only be used by our respective users with whom this information is shared with.

    4. From the visitor
      • Which pages were viewed and for how long
      • IP address and location
      • Browser, device and operating system
      • Language

      Such information is collected using cookies and other tracking scripts like google analytics and are used to improve the overall site experience and/or to serve relevant ads based on visitors’ browsing behaviour and interests through various 3rd party ad networks through remarketing.


4.  Sharing of information with third parties

Your information maybe shared with parties other than Salespatron under relevant circumstances as mentioned below.

  1. 3rd party applications:   Your information maybe shared with relevant 3rd party applications which connect with our platform in order to provide additional services or if these applications are authorised by our users to improve upon the experience of or provide the aforementioned Salespatron services and thus will be bound by our privacy policy in that context.
  2. Law enforcement agencies:   Salespatron reserves the right to disclose any or all information whether owned by users, viewers or visitors to relevant law enforcement agencies, if required by law, in order to investigate, cases of fraud or crime and if we believe that there might be a reasonable chance of information under our control to be of value to the investigation, in order to , protect or uphold the safety of its users or to comply with respective law, court proceeding or any other legal process without your prior consent to do so.
  3. Select Public or Private companies:   In case of an acquisition or merger of Salespatron to another company, we maybe required to transfer all known intellectual property along with any user information to the respective company in order to comply with sale of part or entirety of its assets. In such scenario, the ownership of the information or rights to use your information may change as per the terms of the deal, and would be notified to you prior.
  4. Overseas servers:   Your information may be stored in servers with locations in a different geography from yours in order to provide the best of aforementioned services at all times where privacy laws maybe different than your home state and thus outside your jurisdiction.


5.  How do you secure this information?

Salespatron has implemented reasonable security mechanisms to protect Salespatron’s user information that is maintained on our servers from loss, misuse and unauthorized access, disclosure, alteration and destruction. Examples of these security mechanisms include limited and password-protected access, high security public/private keys, encryption on processed data, and SSL encryption to protect transmission of data.

However, please keep in mind that no security system is impenetrable. It may be possible for third parties to intercept or access Salespatron’s user information in spite of these measures. Salespatron cannot guarantee the security of your information and cannot be held responsible for unauthorized access to Salespatron’s user accounts.


6.  How can you review and request changes to this information?

Salespatron holds onto users’ data for as long as the users’ account is active or it deems fit in order to provide aforementioned service successfully. In order to view or change any information, please write to support@salespatron.com. Our usual turn around time for privacy related requests is 14 days.


7.  Changes to this privacy policy?

Salespatron retains the discretion to amend or modify this privacy policy from time to time. If we make material changes to the way we collect, use or disclose PII, we will notify you by posting a clear and prominent announcement on Salespatron or through a direct communication to your Salespatron or email account.

Salespatron uses remarketing to advertise across the internet. Along with the Google Analytics cookie, the DoubleClick cookie is collected by Google based on your browsing history. This helps us gain an understanding of our visitors' Demographics and Interests. The reports are anonymous and cannot be associated with any individual personally identifiable information that you may have shared with us.

If you want to opt-out of this, please change your settings by going to Google's Ad Settings page. The terms and conditions along with privacy policies with all references, constitutes the sole and entire agreement of the parties to this agreement with respect to the subject matter contained herein, and supersedes all prior terms and conditions which were agreed by the user.
